The Role

The HR/Office Management Administrator role has been designed to give administrative support to the HR department as well as the Office Management team, creating a fun and dynamic combination at the heart of our organisation. For HR, the role has a purely administrative character as drawing up and administration of new contracts, sick leave and parental leave, plus managing employee data on several platforms are part of the job. You will also assist in coordinating the employee contract and monthly payroll mutations and recruitment efforts, collaborating closely with the HR Services Manager and i+solutions’ recruiter.

With regard to Office Management, the administrator role supports the Office Manager in daily administrative and organisational tasks, event management and making travel arrangements for managers and colleagues. This position reports to the HR Services Manager.

Qualifications:

  • Minimum of 5 years’ experience in administration of HR operations/Office Management
  • Familiar with key employee processes such as onboarding, contracting, sick leave registration, etc.
  • Excellent written and verbal communication skills
  • Proficient with AFAS
  • Computer skills and knowledge of Microsoft Office 365 packages
  • English and Dutch near-native proficiency, and any other additional language, such as French, is an advantage.

Responsibilities:

  • Partners with HR to maintain office policies and personnel records as necessary
  • Arranges job interviews and helps to organise induction programs for new employees
  • Organises and schedules meetings and appointments
  • Assists in the timely execution of mutations affecting monthly payroll
  • Assisting in organising office operations and procedures
  • Liaises with staff, suppliers and clients
  • Manages relationships with vendors and service providers
  • Provides general support to visitors
  • Organises and orders lunches as required
  • Responds to incoming calls
  • Books transport and accommodation
  • Participates/assists in the planning and execution of company events
  • Monitors and maintains office supplies and office furniture inventory
  • Deals with correspondence, complaints and queries
  • Ensures filing systems are maintained and current
  • Maintain a clean, safe and secure working environment.
